Group Training Terms and Conditions Summary

Introduction
Welcome to our terms and policies for booking and attending our training sessions. This page aims to summarise what you need to know about cancellations, payment procedures, and accessibility requests, such as captioning, transcription, and recordings.

Cancellation and Rescheduling Policy
Activity Cancellation Terms (including rescheduling):
Please allow more than 10 working days’ notice of cancellation to avoid incurring any fees due to late cancellation.
Cancellations made between 10 and 5 working days before the training date will incur a 50% charge.
Cancellations made fewer than 5 working days before the training date will be charged at the full rate.

Payment Terms
In-person delivery may incur additional travel and accommodation expenses, which will be invoiced separately. We can provide estimates upon request.
Payment Terms: The Fees for the Services must be paid in advance by the Client to D&A in full and funds cleared to the bank account nominated in writing by the Supplier.
Purchase Order: Please provide a PO number / PO form or any other finance procedures for your organisation, if relevant.
Accessibility
We kindly ask that accessibility needs for all participants and facilitators be accommodated during in-person sessions. While specific needs for our facilitators will be shared in advance, we recommend booking an accessible, quiet room, with accessible toilets nearby.
We also encourage you to work with us to understand and accommodate the accessibility requirements of participants to ensure a comfortable and inclusive environment for everyone.
Slides
Accessibility-checked slides (as PowerPoint and PDF) are shared after training sessions are delivered. We can provide slides in advance if either:
- there is an individual accessibility request, or
- the session has a design phase built in for collaborative content development.
BSL Interpretation and Palantypist
We encourage you to include BSL / palantypist as a matter of course (anticipatory approach to inclusion). We are able to provide BSL interpretation and palantypists through partnerships with other organisations and individuals, and provide quotes on request.
Please notify us allow at at least four working weeks before the session if BSL interpretation or palantypists are required needed to allow sufficient time for arrangements to be made.

Online sessions
Captioning and Transcription
Auto-captioning and transcription generation via Zoom will be enabled for all training sessions.
Where sessions are on Microsoft Teams, the client is be asked to host and ensure that transcription is enabled in advance of the session.
Where individual requests are made for access to a transcript of a session, the Training Coordinators will anonymise the transcript before sharing it with the individual.
Recording
Sessions are not recorded as standard. In order to enable everyone to feel fully able to take part in discussions that may include sensitive matters, we do not record training.
We may make an exception when there are participants with specific accessibility needs and a request for recording is made. Get in touch with our Training Coordinators at hello@diversityandability.com
Please allow more than 24 hours before the session to request a recording for accessibility reasons, to ensure we can let our facilitators know and prepare for this.
Recording to Support Accessibility: What to expect
Where we have received a request for a recording to support individual accessibility at least 24 hours before the session we will:
- Record the training session (with participant consent).
- Share a Zoom recording link or private YouTube link directly with the individual – this will have auto-generated captions unless otherwise requested. The video will be a raw unedited version of the training.
- Access to this link will be given for 1 month after the session.
Recording as a Paid Service: What to expect
Recording of the session for any reason other than accessibility will need to be agreed upon in advance and is subject to a fee.
Upon agreement we will:
- Record the training session (with participant consent).
- Provide edited and checked captions for the video.
- Upload to YouTube as an unlisted link.
- The link will be available for a period of 3 months, for internal use only.
